A thank-you letter for participation recognizes the time and effort someone gave to your event, study, survey or competition. Send it within a few days, mention what they actually took part in, share any result or next step, and keep it short. The 20 examples below are written from the organizer's side and cover events, research, school activities, competitions and community projects.
Why it is worth sending
People who take part in something usually do it on their own time. A prompt thank-you closes the loop: it tells them their effort was noticed and used. It also makes them more likely to join next time, which matters if you run recurring events, studies or volunteer days.
What to include
- What they participated in. Name the event, study or activity and the date.
- What their participation made possible. A result, a number you can verify, a quote from feedback, or simply what happened because they showed up.
- Next steps. Slides, recordings, results, prize announcements, photos, or the date of the next event.
- A small ask, if any. A feedback form or a save-the-date. Keep it to one.
- A warm close. Signed by a real person, not "The Management."

Mistakes to avoid
Waiting too long. A thank-you two weeks later feels like an afterthought. Send it while people still remember the day.
Hiding the thanks under a pitch. If the email is mostly an upsell, participants will notice. Lead with gratitude.
Promising results you cannot deliver. If you say you will share findings or photos, follow through.
Forgetting key contributors. Speakers, judges and lead volunteers deserve a personal note, not just the group email.
Key takeaways
- Send it within a few days and name exactly what the person took part in.
- Tell them what their participation achieved, using only real figures.
- Include next steps: recordings, results, photos or the next date.
- Use group emails for crowds and personal notes for key contributors.
