A thank-you letter for a training opportunity shows appreciation to the person who approved, funded or delivered your training, and tells them what you gained from it. Name the course, mention one or two specific skills or insights, explain how you will use them at work, and keep it short. The 20 examples below cover approval notes, post-training thanks, letters to trainers and mentors, and messages for internships and onboarding.
Why it is worth writing
Training costs time and money, and the person who approved it is usually taking a small bet on you. A thank-you letter shows the bet paid off. It also makes it easier for your manager to justify the next request, whether that is your own or a colleague's.
For trainers and mentors, hearing that their session changed how someone works is the best possible feedback.
What to include
- The training itself. Course name, dates, provider.
- Thanks to the right person. Whoever approved, paid for or delivered it.
- One or two takeaways. Specific skills, tools or ideas, not "I learned a lot."
- How you will apply it. A current project, a process you will change, notes you will share.
- A brief close. Offer to present highlights to the team if that fits.
When your training is approved
Hi [Manager Name],
Thank you for approving my enrollment in the [Course Name] data analysis course starting next month. I know it means I will be out of the office two afternoons a week, and I appreciate your flexibility.
I have already arranged for [Colleague Name] to cover the Tuesday report while I am in class.
Thanks,
[Your Name]
Dear [HR Manager Name],
Thank you for approving funding for my project management certification exam. I have booked the exam for [Date] and set up a study schedule that fits around my regular hours.
I will share my results and a brief note on how I plan to use the certification once I complete it.
Best regards,

Dear [Executive Name],
I was delighted to learn I have been selected for this year's emerging leaders program. Thank you for the nomination and for the confidence it represents.
I am particularly looking forward to the module on difficult conversations, since that is an area where I know I need to grow.
Sincerely,
[Your Name]
Hi [Manager Name],
Thank you for supporting my trip to [Conference Name] in [City] next month. I have picked out the sessions on customer retention and pricing, which line up with our goals for the second half of the year.
I will put together a short summary for the team when I am back.
Best,

After completing the training
Hi [Manager Name],
I finished the advanced spreadsheet course on Friday, and I wanted to thank you for making it possible. The section on pivot tables and lookups was the most useful; I have already rebuilt our monthly sales tracker so it updates in seconds instead of an afternoon.
I am happy to walk anyone on the team through it.
Thanks again,
[Your Name]
Dear [Manager Name],
Thank you for sending me to the two-day leadership workshop last week. The biggest lesson for me was the difference between giving feedback and giving instructions, and I have started holding short weekly one-on-ones with each of my direct reports.
I appreciate your investment in my development.
Warm regards,
[Your Name]
Dear [Supervisor Name],
I passed my forklift operator certification yesterday. Thank you for scheduling the training during a quiet week so the team was not short-handed.
The instructor's emphasis on blind-spot checks in tight aisles was eye-opening, and I will be sharing those tips at Monday's safety huddle.
Best,

Hi [Team Lead Name],
Thank you for signing me up for the de-escalation training. I used the "acknowledge, then ask" technique on a difficult call this morning, and the customer ended the call thanking me rather than asking for a supervisor.
I would recommend the course for the whole team.
Thanks,
[Your Name]
Dear [Manager Name],
Thank you for supporting my business Spanish course over the past three months. I am now comfortable handling routine calls with our suppliers in [Country], which used to require a translator.
I plan to keep practicing with the weekly conversation group the course organizers run.
Sincerely,
[Your Name]
Hi [Manager Name],
Good news: I passed the cloud architecture certification this morning. Thank you for giving me study time during work hours over the last six weeks; I could not have prepared properly otherwise.
I would like to propose a short session where I share what I learned about cost monitoring, since that is a gap in our current setup.
Best,

Dear [Manager Name],
Thank you for covering the cost of the online UX research course I finished last week. The module on writing unbiased interview questions was the most valuable part, and I have already revised the script for our next round of customer interviews.
I have saved my course notes in the team folder in case anyone else wants to use them.
Kind regards,

To trainers, facilitators and mentors
Dear [Trainer Name],
Thank you for the public speaking course you led for our team this week. Your exercise where we each gave a sixty-second talk with no slides was terrifying and exactly what I needed.
I have a client presentation next month, and I will be using your tip about pausing before the key point.
With appreciation,
[Your Name]

Hi [Colleague Name],
Thank you for spending three afternoons teaching me the billing system. You never once made me feel silly for asking the same question twice, and your handwritten cheat sheet is still taped to my monitor.
If I can ever return the favor, let me know.
[Your Name]
Dear [Mentor Name],
As our six-month mentorship program wraps up, I want to thank you for every hour you gave me. Your advice to keep a weekly log of wins and lessons has changed how I prepare for performance reviews.
I hope we can stay in touch, and I would love to mentor someone myself next year.
Gratefully,
[Your Name]
Dear [Facilitator Name],
On behalf of the finance team, thank you for Thursday's workshop on writing clear reports. Several people have already rewritten their monthly summaries using your "answer first" structure, and our director noticed the difference.
We would welcome you back for a follow-up session.
Kind regards,

Internships, apprenticeships and onboarding
Dear [Supervisor Name],
Thank you for the internship this summer and for treating it as a real learning experience rather than a coffee run. Sitting in on client calls and drafting my own section of the market report taught me more than any class.
I will remember your advice to always double-check the source behind a number.
Sincerely,
[Your Name]
Hi [Supervisor Name],
My first month is done, and I wanted to thank you for such a well-organized onboarding. Having a clear checklist, a buddy, and a small real project in week two helped me feel useful early.
I feel ready to take on my own accounts starting next week.
Best,
[Your Name]
Dear [Clinical Coordinator Name],
Thank you for hosting my clinical rotation in the cardiology unit. The nurses I shadowed were patient teachers, and I learned how much careful communication matters during shift handoffs.
Please pass my thanks to [Nurse Name] in particular, who let me assist with patient education every day.
Respectfully,
[Your Name]
[Program and School Name]
Hi [Manager Name],
Thank you for arranging my two-week rotation with the logistics team. Seeing how orders move from the warehouse floor to the truck has already changed how I write delivery estimates for customers.
I would be glad to host someone from logistics in our team if that would be useful.
Thanks,
[Your Name]
Dear [Program Director Name],
Thank you for the summer training institute for new teachers. The classroom management sessions gave me routines I am now using every morning, and my first weeks have been far calmer than I feared.
I am grateful for the support and for the cohort of colleagues I met through the program.
Warm regards,
[Your Name]
Mistakes to avoid
Saying "I learned a lot" and nothing else. Name one specific thing. That is what makes the letter believable.
Overstating results. "This training will double our sales" is not credible. Describe what you will do differently.
Forgetting the people who covered for you. If colleagues picked up your work, a short thank-you to them matters too.
Sending it months later. Write within a week of finishing, while the details are fresh.
Key takeaways
- Thank the person who approved, funded or delivered the training.
- Name one or two concrete skills or ideas you gained.
- Explain briefly how you will apply them, and offer to share with the team.
- Keep it short, warm and sent within a week.
